Privacy notice

CandidateLed is a software product owned and operated by LocodeSystems LLC. In this notice, we, us, and our refer to LocodeSystems. This notice explains how LocodeSystems collects, uses, shares, and protects personal information through the CandidateLed website and product. It covers site visitors, account users (recruiters and the recruiting firms they represent), candidates whose profiles are processed through the product, and decision-makers who appear in business development research.

CandidateLed is a business-to-business tool built for recruiting professionals. It is not directed to, and is not knowingly used by, individual consumers browsing for a job.

Account information. Name, email, organization, authentication records, niche/preference settings, usage activity, and support messages.

Recruiting content you submit. Resumes, LinkedIn-style profile details, candidate notes, consent and availability status, company targets, contact records, saved searches, and outreach drafts you create or upload while using the product.

Third-party business and candidate information. To power search, targeting, and outreach, CandidateLed retrieves information from business-data and people-search providers, hiring-signal and job-posting providers, and contact-discovery and email-verification providers. This can include a person's name, employment history, title, location, education, professional profile links, and business contact details (such as a work email address). This information generally comes from public professional profiles, employer websites, and licensed commercial data providers — not from the candidate or decision-maker submitting it to us directly.

We use information to provide, secure, maintain, and improve the service; authenticate users; generate search blueprints; identify and rank target companies and hiring signals; identify decision-makers and resolve business contact details; draft candidate briefs and outreach copy; send outreach you have reviewed and approved; answer support requests; and understand aggregate product usage.

We may use aggregated or de-identified information to evaluate product quality, usage patterns, and reliability. We do not sell personal information, and we do not use it for cross-context behavioral advertising. We do not authorize use of CandidateLed for unlawful discrimination, deceptive outreach, or high-volume spam.

CandidateLed processes personal information about two groups of people who are not our account holders: candidates a recruiter is representing, and decision-makers at target companies. Neither group creates a CandidateLed account or agrees to our terms directly.

The product requires the recruiter to affirmatively record a candidate's consent to be represented and a confirmed availability date before that candidate can be marketed to a company. Recruiters — not LocodeSystems — are responsible for obtaining that consent and for having a lawful basis to submit, source, and use any candidate or decision-maker information in the product; our terms of service require this. For decision-maker business contact information sourced through our data providers, we rely on our legitimate business interest, and our providers', in facilitating professional B2B outreach, together with the recruiter's obligation to send only relevant, honest, human-reviewed outreach.

If you are a candidate or a decision-maker and want to know what information we have about you, or want it corrected, deleted, or excluded from future processing, contact us using the details below. We will honor reasonable requests even though you are not our account holder.

Marketing pages use PostHog analytics in cookieless mode, which does not set browser cookies, local storage, or session storage for a first-time visitor. Analytics helps us understand page performance and whether the site explains the product clearly.

The authenticated product uses session cookies required for login and security. We do not use third-party advertising cookies or trackers.

We share information with service providers who process it only to provide their service to us, including:

• Cloud hosting, database, and authentication infrastructure
• Business-data and people-search providers used to source and enrich company, hiring-signal, and decision-maker information
• Contact-discovery and email-verification providers used to locate and validate business email addresses
• AI model providers used to extract text from documents, generate search filters, score company fit, and draft candidate briefs and outreach copy
• Google, for Gmail-based sending, if you connect your inbox
• Analytics providers used to understand product usage
• Payment processors, once billing is enabled

We do not sell personal information to third parties. We may disclose information if required by law, to protect the rights, property, or safety of LocodeSystems or others, or as part of a financing, merger, acquisition, or similar business transaction, subject to this notice continuing to apply to previously collected information.

If you connect Gmail, CandidateLed requests account identity and send-only permission. We store an encrypted Google refresh token, the connected account email, and any sender name and signature you configure so you can send outreach you have reviewed. CandidateLed does not request permission to read your inbox, and replies are not synchronized into the product.

We retain the exact sender, recipient, subject, body, delivery identifiers, and timestamp for messages sent through CandidateLed. Disconnecting Gmail revokes access where Google permits and erases the stored refresh token. Google user data is used and transferred only to provide this user-facing sending feature, consistent with the Google API Services User Data Policy, including its Limited Use requirements.

LocodeSystems is based in the United States, and our service providers primarily process and store information in the United States. If you access CandidateLed from outside the United States, your information will be transferred to, stored, and processed in the United States, where privacy laws may differ from those in your jurisdiction.

We retain account and recruiting content for as long as your account is active, plus a reasonable period after closure to comply with legal obligations, resolve disputes, and enforce agreements. You can request deletion of your account and associated data at any time; see Choices and rights.

Candidate and decision-maker information sourced through the product is kept only while relevant to active recruiting or business development activity in your account, and is deleted on request or when it is no longer needed for those purposes.

We use technical and organizational measures — including encryption of stored Gmail credentials, access controls, and row-level security on customer data — designed to protect information, but no online service can guarantee absolute security.

Depending on where you live, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, and to receive a copy of it in a portable format. To exercise any of these rights, contact us using the details below; we will respond within a reasonable time and may need to verify your identity first.

Account users can review and edit most account and recruiting content directly in the product, and can request full account deletion by contacting us. Users are responsible for only submitting candidate information they are permitted to process for recruiting or business development.

We do not sell personal information and do not have a financial incentive program tied to personal information, so there is nothing to opt out of on that front.

CandidateLed is a professional tool for recruiting businesses and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us personal information, contact us and we will delete it.

We may update this notice as our product, vendors, or legal requirements change. If we make material changes, we will update the date below and, where appropriate, notify account users. Continued use of CandidateLed after an update means you accept the revised notice.
